When It Comes to Coffee Machines, Your Business is Our Business. We Will Always Do What We Can to Help You Maintain and/or Repair Your Machine.

We know that any breakdown of your coffee machine can be catastrophic for your business – no coffee could mean no customers. We therefore want to keep any disruption to your business to a minimum and recommend regular servicing to keep your machine running at its best. The well-known quality and reliability of the machines we supply means that call outs are infrequent; however, like any piece of mechanical or electronic equipment, breakdowns can happen. Our experienced in-house engineers are specifically trained to work on any traditional espresso machine – with particular expertise on the Astoria and Rocket machines. We will endeavour to fix a problem over the phone or our engineers will visit you onsite (based on location) to advise and/or repair your machine to get it up and running as soon as possible.

Pay-as-You-Go Service

For customers not on a maintenance plan, we offer an ad-hoc service option for machines purchased through Coffee Bay.

What’s included:

Telephone support: Monday to Friday (09:00 - 17:00)
Engineer call-out: An engineer will attend at the earliest available opportunity (contract customers will be prioritised).
Call-out fee:

£100 - £110 + VAT (based on postcode), includes the first 30 minutes of service.
£60 + VAT per hour thereafter.

London call-outs: £130 - £160 + VAT
(BASED ON POST CODE), including the first 30 minutes (covers congestion charge and ULEZ), £60 + VAT per hour thereafter.
Parts: All parts are chargeable.

Our fully comprehensive annual maintenance package ensures your coffee machine runs smoothly throughout the year.

The package includes:

Telephone support: Monday to Saturday (09:00 – 17:00)
Engineer call-outs: Full inspection, diagnosis, and on-site labour (Monday to Saturday, excluding bank holidays)
Annual machine service: Plus an additional minor service after 6 months
All parts included: Except for electronic components like PC boards, displays, and touchpads, which are supplied at cost (excluding damage due to negligence)
1 water filter cartridge change
Additional fault calls: Any issues caused by lack of cleaning or negligence will be chargeable at Pay-as-you-Go rates.

Front End Service

Our comprehensive on-site service includes a general inspection of your commercial coffee machine, followed by routine maintenance. This service covers the replacement of key components such as valves, seals, and screens, ensuring optimal performance.

Standard pricing:

• 2-group machines: £200 - £220 + VAT
• 3-group machines: £230 - £250 + VAT

Multi-boiler models (e.g., Plus4U, Doppia, R9):

• 2-group machines: £250 + VAT
• 3-group machines: £280 + VAT

Full Service

Our full off-site service includes a comprehensive overhaul of your coffee machine at our workshop. During this process, we provide a replacement machine to ensure minimal downtime. Your machine will be completely dismantled for a detailed inspection, with key parts like valves, seals, and screens replaced. We also perform a full boiler descaling.

Standard pricing:

• 2-group machines: £500 - £550 + VAT
ª 3-group machines: £580 - £600 + VAT

Multi-boiler models (e.g., Plus4U, Doppia, R9):

• 2-group machines: £700 + VAT
• 3-group machines: £750 + VAT

Pressure Vessel Inspections

We offer professional pressure vessel
inspections to ensure your coffee machine complies with safety standards.

Pricing:

Local inspections: £250 + VAT
Outside London: £290 + VAT
Within London: £340 + VAT
Special rate for rental customers: £200 + VAT (or with full service at workshop)

Service packages we offer:

On-site group servicing
Full major off-site servicing (including use of a loan machine)
Repairs on site, water filtration (in most parts of the UK the prevention of scale is essential for the proper working of
the machine) and installations.
We can also carry out independent boiler inspections

Our Service recommendation (based on usage):

An annual on-site group/front-end service plus change of water softener. We also strip & clean group heads, steam &
water valves, replace washers, group seals & shower plates. We can check your grinder, clean and/or replace the blades
and ensure the correct settings.
Every 3 years we recommend a full off-site service – in addition to the items above we will strip and descale the boiler,
pipes & heat exchanger; check the function of the pressure stack probe, safety valve and group solenoid.
Finally, we check all the functions are working correctly and advise you on the general condition of the machine.
We supply a loan machine of the same size to ensure your business continues.
